Proposal List - Sort by Sales Person

When viewing all of our open proposals, I need to have a column to see who the salesperson is and sort by sales people.

You bet. The list view will have fully dynamic fields so any related data can be viewed. I’ll make sure they prioritize this.

Catalog items

Is it a bad idea be taking a deep dive into the catalog right now and modifying all of the pricing...which then moves it into OUR items database? Will it lose its connection to the catalog database to get further updates on specs, etc?

No it will not loose connection. We have a backlog of vendors we are working though to get the items in and then get all the images and docs updated. It’s going to take a couple weeks. The iPoint sync is expected to be out by end of next week.

Then we will maintain the local products automatically. The vendor pricing from the catalog will work in tandem with the local data you add.

As far as a deep dive, we want you to be getting familiar with it, giving feedback, etc. but you will likely want to get iPoint data imported before you put it into full use.

Proposal Video Snippets

Probably not the right term but you guys have shown the ability for me to record video clips to discuss certain aspects of the proposal. Will these be reusable? For example if I record a really good explanation of service plans can I put that in future proposals?

You bet. We will definitely have this available for you. We are almost done with our own recording app which you have seen watching any of our videos. It's Smackdab Record and is a full replacement for Loom. This will then allow you to prerecord videos, keep them in folders and then attach them to any proposal as needed.

We have other blocks too! Spacers, dividers, social media links, logos. There is also a text block that is a little wonky right now, but that should be buttoned up tomorrow.

The only way I can find to add an area/room to a proposal is through the "add item" interface.

1. Are themes global for the company, or are they per user? And I'm assuming there is a good use case for this, which would be:

  • a lighting proposal

  • a shade proposal

  • an AV proposal

It has different images and different texts for each proposal type?

2. Can we help push vendors to fill in the catalog? Obviously we need pricing info ASAP.

3. Can we import our current iPoint products database? And parent product ->accessory relationship.

How to start?

As an iPoint admin, I was going to play around with the CRM to start using that as our main front-end but when I log into smackdab, it just pops up a message saying my license is expired and I need to buy/renew?

I've looked around and can't seem to find any "migration" type documentation to help us get our contacts sync'ed over and training for our team on how to use it.

We've been working hard to ensure Smackdab is as intuitive and user friendly as possible. Out of curiosity, it appears that when a client goes to their view they are first greeted by the Smackdab logo animation. I can foresee many clients not knowing what Smackdab is and being afraid to continue. It might be better from a client point of view to have our logo appear and it can say powered by Smackdab or built with Smackdab or something similar.

Software status

Hi,

Its been pretty quiet around here again with the last update saying there would be a preview of the proposal lite module after it was shown at ProSource but no indication of when. I know we are all excited to start migrating and continue migrating to Smackdab so apologies for being impatient.

Hoping for a realistic timeline of releases, I know you intended to have things much further along by now so if you could provide an updated timeline it would help me, and others I’m sure, plan for our software stacks throughout the year and into 2027.

CRM, Notes, etc

In my seemingly never ending quest to improve efficiency and visibility into projects past and present I need information in a single spot, or two at the most. Right now we are scattered in a few different areas. In a perfect world everything would be in iPoint but for various reasons our notes have stuff like “will update later” or some variation. Just extra stuff to wade through.

So I thought I’d make the policy that only notes related to time would go in iPoint for invoicing reference and job details would go in a word doc or similar. But now I’m second guessing myself.

I was waiting for Smackdab to get the kinks worked out, full disclosure I’ve spent very little time in it, but now I’m wondering do I have the guys do time related notes in iPoint and shift to Smackdab for job related notes, like where an appletv is located or what was done on a given day.

I hope I’m making sense. My brain is fried after working on new initiatives for the past 7 days almost non stop.

Open to any and all suggestions.

We do of course have site plans marked up and spreadsheets with IP addresses and MAC addresses in separate locations that really can’t live in Smackdab as far as I know but just trying to finalize a system that we can run today and not have to change course in a few months when we hopefully start using Smackdab more as new modules are released.

Communication is also big so I’m hoping the email tie in with Smackdab will help with various people talking to clients and provide visibility for all of us.

Jon, I feel your pain. For us, in the last year, we started using Slack for most of our project notes and documentation sharing for field techs, and we onboarded with OneVision for service ticketing and support subscriptions. We're still using iPoint for most functions, but I can see where Smackdab hopefully will pull much of the "splatter" of communications and files together.

We are with OneVision too. I'm thinking along the lines of long term job notes so I don't know if Slack would be great for that. Stuff like where a piece of hardware might be hidden behind a TV, or what extra cables were run, just stuff that we might need to know a year or two down the road. We don't do full engineering docs for all jobs, though I'd love to, so simple reference notes come in very handy.

I'm still leaning toward just time related notes in iPoint and then a word doc or similar for job details though would love to have this all in a single pane of glass.

Introducing Smackdab V4

Here's the deal

Our launch earlier this year didn't go so well. The webinars had bugs, automations crashed, and it wasn't the experience we wanted to deliver. So we stopped, stepped back, and got to work.

What we've done

We completely rebuilt the front end with a new professional design, and rebuilt the entire automations engine. We moved half of our iPoint team to Smackdab as full-time testers. We spent months bug squashing, testing and refining everything. We focused on improving the synchronization between Smackdab and iPoint.

We believe Smackdab is ready, but we also believed that last time. So we're taking a different approach.

A Careful Start

Before we open this up widely, we want to make sure our platform and onboarding process are right. To do that, we're inviting a small group of companies to go through a guided, one-on-one onboarding experience with our team.

This isn't a perk we will be able to offer to everyone, and if we did this right, you won't need additional hand holding! But, we want to work directly with some initial companies to learn where you do need help. Your experience will help us identify gaps and refine the process so it works smoothly for the rest of the community.

Smackdab Pay

Hi, does Smackdab pay support automatically adding a credit card surcharge? If so, what is the timeline for getting integration with iPoint for invoices? I'd like to start adding a surcharge to all invoices if customers opt to pay by credit card.

Secondly, I may bring our recurring alarm fees in house instead of the monitoring company handling it. I'd rather just wait until I can set this up in Smackdab and then have Smackdab push to iPoint or quickbooks as needed. Any idea on timeline for this? I don't mind waiting a bit for it.

Smackdab will not push invoices to iPoint. We wont have full bidirectional for every module. We WILL have an import method to swap over as each module is ready to replace iPoint. Smackdab will sync to QB Online very soon. Its in internally testing now.

Smackdab will support adding a surcharge. Its not there at the moment, but is on the short list for the invoices in Smackdab.

We are hoping to make an official launch announcement next week. Its been quiet as we ported 1/2 our iPoint team over the Smackdab and have been testing the crap out of it. When we announce this version we want it rock solid. Proposals V1 is coming along nicely, I am hoping to have a preview out the first week of Decemeber of it. As soon as we announce the v4 launch we will be putting devs onto the helpDesk project, inventory system and more.

Job Notes

I'm growing more and more frustrated with how we handle job notes within my company. Techs complain about iPoint being slow so notes don't get done. To try and help this we started doing a google doc and/or spreadsheet for jobs. But now I'm looking in multiple places for info only to find the techs still didn't provide the info I want usually but thats another story.

The notes section under contacts in SmackDab seems pretty basic and at least when I just quickly looked it seemed like our iPoint notes were mixed in a timeline with a lot of other stuff. Clicking notes under the contact on the left bar just brought up an empty note.

Do you have a vision for notes in SmackDab? Can we expect formatting, rich text, ability to paste pictures in a note, etc, etc. Or should I just assume basic text based notes in SmackDab? Trying to get everyone in my company into a single platform for our notes (mix of iPoint/Smackdab ok for the short term) but hoping we can stop with google docs, etc.

Looks like my SmackDab is doing a full migration again so it'll be a little while before I can look at notes again in it.

Notes are already rich text, just highlight the text and the formatting bar wil appear. We will look into adding a static format bar to make it easier. And with the yes you can insert images. I did just test it though and the image got stripped out, which is a bug, so I just sent that tot he team to fix.

Also, you can add a timeline view with just notes, Click the + button on the timeline views and select notes from the items you want to see.

IPoint transfer

Hello!

In IPoint we have everything organized as a parent contact and then each of their separate addresses listed underneath. This is for both homeowners and builders.

But when the transfer happened for us, everything ended up under contacts. So now I have several hundreds of address but they are no liked to anything else. If you go into history, you can see scroll through the events to see the parent contact but it’s not clickable and the address is not listed under the contact. Nothing in the related fields either.

Is there a way to rectify this?

IPoint Syncing

Good morning!

I am noticing that there are no new contacts that have been added via Ipoint in Smack Dab since we did a sync about 3 months ago.

I was under the impression that things would be syncing from IP into SD going forward until the two are merge.

Was this a one time thing?

If so, how do we sync just the new contacts/companies since the last sync?

Is there a way to make this automatically happen when we add things in IPoint?

What's the timeline on the merge?

Yes it should be automated. Our support team is available by using the help chat inside Smackdab. Hover over the orange AI button then click help an start a chat. The team can look at your system and diagnose sync issues. If the sync is reset, all new info will come over. Our goal is still the same, to fully port iPoint to Smackdab by the end of 2026.

I just looked at mine - looks like I have the new layout - and under iPoint sync it said configure, when I clicked it said there was an error and to restart, which I did. It seems like it might be pulling in stuff again but will be awhile until I see results.

Is it expected that we'd need to "nudge" the sync after the latest update?

Mobile App

Hello!

I am getting ready to train my sales team on how to use smack dab, specifically on CRM tasks so they can get used to it for now until the big merge with I-Point happens.

One of my pain points with using it right now is that I am thinking about CRM notes directly after a meeting or networking event but I am not at my computer so I send notes to my self and then have to circle back around and add notes to SD once I am back at my computer. I'm currently about a month behind because we are super busy and it keep falling to the back burner. I totally own that this is on me but also just trying to keep things as efficient as possible and also taking into consideration that the sales guys will also struggle with this and I don't want them to feel bogged down.

Curious if there is any update for when the mobile app will be rolling out?

Also, curious if there is an opportunity to set up a text based updating system similar to receipt submission for Ramp. You can text in your notes and a photo of your receipt and it automatically adds the info to the system for you.

We've had difficulty tracking job status, lead status, deal status, etc. I started working with Notion toward the beginning of the year and its pretty powerful. I have a customer database where client notes live and then I have several properties for things like project status, scheduling, what techs are needed, etc. I'm going to attach a small portion of the database to give you an idea. The nice thing is I can view this data in any number of ways. I think SmackDab is supposed to, or is going to, allow basically the same thing but I wanted to be sure. My goal is to get away from Notion for this and do it natively in SmackDab.

Can there be a view on the dashboard for example that pulls from various places? I see I can make a Kanban view in Deals for example, and another in Contacts, etc. What I'd like is to see the "master list" of active deals, projects, service jobs, etc something similar to my image where every row is a client.

I haven't been diving too deep in SmackDab since I'm waiting on the relaunch and a little guidance in best practice setup and frankly time has been a hard thing to come by recently.

Yes, we will be using the core deals record to track everything you mentioned. We are still architecting the flow, but as a job progresses through Opportunity, to Won Job ( Project ) to service, we will be using a deal recrod for tacking all related info. This will allow you to have different Pipeline (Stages) at different parts of the lifecycle,m while still maintaining full references to the historical data. At the end of the day we should have a list exactly like what you are showing there.

Multiple Tabs

Should info be synced between multiple browser tabs? I had Contacts open in one tab and Deals in another. I added Deal columns to the Contacts view as I'm trying to test something. I updated the Deal stage in the second tab and it wasn't reflected on the Contact tab. I clicked into the contact on that tab and it still didn't show the correct deal stage, presumably it would have loaded the latest info when I opened the contact. I clicked on the deal from within the contact card and it opened the deal window (in the same tab) but with the wrong status. So I have two different stages showing in two different tabs.

This is something we will look into, this kind of behavior is advanced and is not in most applications. Hubspot and Pipedrive for example do not have this ability either. So yes, it is on the list, but due to complexity, not at the top of the list.

Forms

Hello!

Curious if there is any plan to incorporate a forms widget? Right now I’m using airtable for this but it would be so awesome if we could link data directly to a contact in smack dab!

For example; we started doing post factum meetings for finished projects. Instead of just taking notes on a word doc that gets saved away in a folder, with data that would have to be dug for, I’m creating an airtable form that can be filled out during the meeting and then submitted to back to airtable. This way over 6 months or a years time, we will have a data set that we can analyze and pull from.

Feature Request

I tried posting this in the feature request section but it wouldn't publish.

Can the software automatically track time per employee when working in a customer "file".

Example, if we are building a proposal, working in a change order, etc it would be nice if the software could track that time automatically without the need to "check In/out". I would think areas such as proposals, change orders, project scheduling, etc would be good to have this feature enabled.

Have an email template that requests a $500 pre authorization for a service call. Customer signs off on it and then when the service call is done we charge the actual amount - up to $500 in my example. If we are going to exceed that amount then maybe it needs to go through proper engineering/project management, etc. Or possibly if it's labor only and takes all day we clear it with the client of course but then just charge the full amount. Not sure of the best way to handle this. But tired of waiting on payments from clients for service work.

We require payment at time of the service call. If there is something additional we have to come back for, or an upsale opportunity we just request payment at the final portion. Once you walk out the door its a fight to get payment... So get comfy on the couch and wait for the checkbook to come out.

Splitting husband and wife contacts - best practices

Morning!

Curious if I am going about this the correct way. I have been splitting any contacts that were migrated over from IPoint as a couple, example; Johnson, John & Jill, if there are two separate emails listed. And leaving them alone if there is only one email listed.

My thought was that if we want to pull emails for a marketing campaign, we would need them to be listed individually in order to grab both emails, since a curated list would pull the primary email only, right?

Am I on the right track here? Any reasons why it would be worth going a step further to split them either way? Or is there a way to grab multiple emails from one contact card?

Also, thinking out loud, that makes me wonder if we went with the later option of keeping them combined and grabbing multiple emails, what would happen with clients who have multiple email addresses, like a personal one and a work one. We wouldn't want them to get marketing emails from us at both email addresses. Maybe I just answered my own question? Lol Feeling curious, might delete later 😂

You are definitely on the right track there.

Currently, there is not a way to send the same email marketing broadcast to the same contact on two different emails at the same time. You could theoretically resend the broadcast another time and select a specific email type, but that's getting kind of dicey. I think that you've nailed it with what you're doing. Unless it's for marketing purposes, though, I don't see a specific reason to break them apart.

The marketing email system lets you select a specific email type to send to per broadcast. In regards to your last paragraph, you could do this and say "I only want to send to home address" or "primary address". It would pick that out of the list regardless of what is primary and what's not.

Contacts - Companies - Projects

Hello! I am building our internal SOP so we can get the whole team on board with using smack dab next quarter!

Curious, how is everyone organizing things? So far we have our builders, architects, interior designers and industry partners under companies and all each individual client under contacts.

Then we also have our project's (or each residence/address) under contacts as well. So the residence is listed 1234 street drive, and then it's home owners are linked as related contacts. This way if the client has several addresses, they are accessible individually which is useful for proposals and marketing.

Is this the best way to go about it? Or should I create a separate entity for Projects? Any thoughts, or advice is greatly appreciated!

Wow sounds like you have a great start. You could create a custom entity for projects BUT.... We will be creating the full project management suite in Smackdab next year. What this means is you can absolutely continue on the road you are on. When we bring the official project management suite online you will be able to port over information from your custom entity, but if its not urgent and you want to wait, I wanted you to know it is coming next year.

Its Been a Hot Minute!

I know it's been a hot minute since we've reached out. We've been HARD at work fixing some critical issues that came to light in June. Our entire Smackdab AND iPoint staff, along with all our early adopters, have been hammering the platform, and we're about finished resolving every issue we could find and tackling our stability problems.

I made you a Loom video showing some of the updates and sharing the new version, which we think will be ready mid-September.

There's going to be a lot of activity over the next few months as we reintroduce Smackdab's new look, roll out our streamlined proposals system, and introduce new features every month.

I can't wait to re-engage with you all as we gear back up again.

Lots of learning on our part!
We ran into scaling issues in June that caused a full stop and reset. We are in the final couple weeks or some major overhauls that have been going on since then to remove the latency.
We also made a decision that the UI was not at the caliber that I wanted, so we are doing a full version 4 overhaul. This will streamline the entire flow around setup and make the UI more response and easier to use. You will have all the customizations moved out of settings and right into the main screens, so adding fields, moving fields, changing fonts, will all be done right from the record screen. We are also hiding the hierarchy behind a advanced unlock and only exposing it to accounts that want the momentum plan AND want to use it. Although it is something that is incredibly powerful, it became a major stumbling block to most companies trying to learn Smackdab.

Ill share some of the new UI here for you.

The current roadmap: Latency and Scalability issues all resolved by August 15th ( Been in progress now for 4 weeks and we are almost done )

Client journey

My employees, myself included, struggle with all of the steps a client takes through our sales process. Particularly when factoring in various software suites. Has anyone started using Smackdab for deal pipelines and automated “reminders” for lack of a better term? If so, how is it going? I think Brooks mentioned the automations (flow engine) was getting reworked. So not sure if I should start building things and give my team access.

What we struggle with as an example is when we get a new client contact, enter them in iPoint and schedule appointment. Then we have to enter in OneVision, then MailChimp (used for our marketing emails). Then I create a proposal in iPoint and I need to also enter details in OneVision. When proposal is won I need to not only handle it in iPoint but also OneVision. Etc, etc. before I go down a rabbit hole of using yet another piece of software to create reminders based on triggers is SmackDab in a state where I can use it for the reminders portion at least? I know it won’t integrate with OneVision and MailChimp but if I can mark the deal as won will it prompt me to enter the details in my other software suites?

I currently use notion for my notes and as a repository for tips and tricks, company info, etc. so it wouldn’t be a stretch to have that do automations. Just trying to reduce the amount of software.

Open to any feedback at all!

I’ve been using these kinds of automated sales workflows for years and they really are the most frictionless way to keep your team on task. It also provides unbiased documentation in case you have a slacker in your midst

I’ve been helping with the beta testing and from what I’ve seen you will be able to do exactly what you are describing.

From a users perspective my advice would be to start getting familiar with the fields settings for your contacts, deals, etc because those are the touchpoints that the automation workflows get triggered from.

Another tip: Get your pipelines set up before you start creating workflows. My company does two vastly different types of jobs so each team has their own pipeline with different stages and activities within them.

There is not. I was traveling and Brian set up the event and did not have it set to record. Like every other demo it uncovered some underlying issues that needed fixed and we are building a new flow engine. I will do another training series on automation in a few weeks when the new engine is done.
